A. Primary Purpose of Job:
Ensure MedWise corporate and clinic staff positions are setup in the MedWise workspace properly. Provide consistent interpretation of Policy & Procedures to ensure all employees are treated equally. Performs and/or coordinates Human Resources, Payroll, and Employee Benefits functions in compliance with the philosophy of MedWise’s standards of practice and regulations of government agencies by performing the following duties outlined below. Additionally, assist in providing guidance and direction in helping QuikTrip employees understand the expectations and qualifications of MedWise positions.

- HCM Administration and Development
- Perform Human Resources functions to maintain new hires, separations, evaluations, etc.
- Maintain Corporate and Clinic personnel and pay information.
- Track, monitor, and report employee turnover, tenure, leave reasons, etc.
- Review/Report employee benefits and deductions.
- Coordinate all benefit enrollments through HCM. Assist in answering/connecting MedWise employees to benefit resources.
- Coordinate communication of policy, procedure, and benefit changes.
- Review staff payroll timesheets for processing to ensure appropriate and accurate payroll processing per policies.
- Manage design changes of HCM to increase efficiency.
- Manage relationship with IT for efficiency changes and any updates for HCM.
- Provide/Review/Report on compliance (attendance, tardiness, workers comp, disability and leaves)
- Complete third party requests of payroll and employment benefits for past & present MedWise employees.
- Coordinate employee benefits and deductions with Accounting/Payroll. Management of employee and company records and retention.
- Performs payroll and benefits analysis for management.
- Ensure managers complete timecard entries accurately and complete in a timely manner.

- Assist Leadership with compiling information on legal cases.
- Ensure separations are conducted according to Policy and Procedures.

- Hiring/Onboarding
- Update screening methods within HCM.
- Maintain structured interview questions to meet the needs of each position and the hiring manager.
- Review background and drug screening to determine candidate’s eligibility for employment.
- Create, manage, and report all MedWise employee offer letters.
- Communicate the employee’s salary and benefit program eligibility.
- Work with Corporate support staff on hiring by:
- Assist in gathering all credentials, certifications and all pre-employment documents and forms.
- Manage onboarding workflow of applicants through internal and external job posting.
- Assist in retention tracking, reporting, and coordination of referral bonus.
- 20% of total job
- Ensure the maintenance, repair, improvement, safety, and protocols of all non-clinic facilities.
- Maintain vendor relations and monitor cost control.
- Review corporate campus signage, equipment and building facilities.
- Work as a liaison between the QT Administrative Services department and MedWise to ensure all issues are addressed timely and thoroughly.
- Maintain and communicate Emergency Preparedness Procedures.
- Develop and manage emergency procedures.
- Assure employees are aware and trained as necessary in emergency procedures.
- Manage visitor experience and protocols in all non-clinic facilities.
- 5% of total job
- Assist and maintain HR and HCM onboarding and orientation training materials for staff.
- Create and maintain training materials including all new training, skill schools, and ongoing training related to HCM.
- Assist with updating existing materials used in all training as it pertains to HCM.
- Support and guide internal and external candidates transitioning to positions within MedWise.
- Assist all employees in obtaining necessary education, training, and certification.
- Miscellaneous Projects –
- Assist Corporate Support Staff by researching and completing miscellaneous projects.
- Assist and coordinate with other departments as requested.
- Compiling data for W/C audits
- Evaluate on-going and current processes and recommend updates, changes, adjustments as needed.
- Manage and/or coordinate additional miscellaneous programs.
- Provide consistent and efficient customer service using empathy, compassion, and good judgement.
- Must review MedWise electronic communications.
- Assist Corporate Support Staff by researching and completing miscellaneous projects.

E. Position Specifications

1. Required education: High school degree or GED.
2. Desired education: Bachelor’s degree in HR, Business, or medical related field.
3. Required experience: 1 year of HCM and HR experience including workflow processes, module implementations, training new personnel, audit/compliance, creating policies and procedures, training, onboarding/orientation and recruiting/hiring practices.
4. Desired experience: 3 years’ HCM and HR experience including workflow processes, module implementations, training new personnel, audit/compliance, creating policies and procedures, training, onboarding/orientation and recruiting/hiring practices.
5. Required skills: People-oriented, highly organized and self-motivated, attention to detail, and the ability to work independently.

Sensory Requirements:
Worker must be able to hear, see and speak to supervisors, co-workers, internal customers and vendors, and to identify and deal with such via the telephone or in person in order to accomplish job responsibilities.
Physical Requirements:
This job requires that the worker be able to sit or stand for extended periods of time to perform work duties. Worker is required to hold items such as writing utensils.
Mental Requirements:
Worker must be able to concentrate and perform work with many interruptions (persons and telephone). He/she must be able to conceptualize work delegated by manager in order to complete it correctly. He/she must learn new process as MedWise changes. He/she must be able to think through, reason and solve problems. He/she must maintain his/her composure with internal and external customers.
