Primary Purpose of Job

Creating and maintaining a positive patient experience at QuikMed. Involved in both clinical and administrative areas including assisting physicians with patient care and handling clerical, environmental and organizational tasks. Cares for patients under the direction of the Clinical Operations Manager, Advanced Practitioners, Medical Director, and in compliance with QuikMed’s philosophy as well as standards of practice and regulations of government agencies.

 

Position Responsibilities

 

 

Clinical Care and Customer Service. 70%

    1. Provide support and direction to level I and II Medical Assistants by answering questions and assisting in the resolution of issues and problems.  Communicate issues, concerns, and/or accomplishments to the Clinic Supervisor.
    2. Provides healthcare in collaboration with medical care team. Including but not limited to medical/surgical asepsis, sterilization, instrument wrapping and autoclaving; checking vital signs or measurements; physical examination preparations; clinical pharmacology; drug administration through various routes including injections ; prescription verifications with physician’s orders; minor surgery assists including surgical tray set-up pre/post-surgical care, applying dressings, and suture removal; biohazard waste disposal and monitoring; therapeutic modalities; instructing patients with assistive devices, body mechanics, and home care; laboratory procedures including Occupational Safety and Health Administration (OSHA) guidelines; quality control methods; CLIA-waived testing; capillary punctures and venipuncture; specimen handling such as urine, throat, vaginal, stool, and sputum; electrocardiography including mounting, emergency triage, and first aid. Medical assistants must adhere to the MA scope of practice in the laboratory.
    3. Prepares patient for and assist with examinations in a manner which promotes the delivery of high-quality patient-focused health care services; including but not limited to checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting physicians/nurses with various procedures; charting; relaying instructions to patients/families; answering calls, and providing pertinent information.
    4. Processes lab collections.
    5. Maintains patient medical records, medical reports, and other records.
    6. Transport patients or assist patients to walk when necessary.
    7. Interprets physician’s discharge instructions to patients.
    8. Performs other duties as requested by medical care team.
    9. Clean and sterilize instruments, equipment, clinical areas, disinfect rooms after each patient visit and follow clinic protocol for the collection and storage of outpatient labs.
    10. Provide consistent and efficient customer service using empathy, compassion, and good judgement.
    11. Comply with all HIPAA regulations to maintain patient’s rights to privacy by not discussing privileged information outside the work area and preserving the patient’s dignity at all times.

When the supervising provider is not in the clinic, the responsibilities of the MA are narrowed to the following:

      1. Checking vitals based on QuikMed Protocols
      2. Schedule an appointment for a patient without triaging the patient and without making a clinical decision.
      3. May issue a medication to patients that have been prescribed and dispensed, reviewed and initialed by the treating physician.
      4. A lab draw that has been ordered by the provider
      5. CLIA Waived testing for patients per provider order and according to QuikMed protocol.
      6. The MA cannot make independent medical assessments, triage, prescribe, administer injections, renew prescriptions, or give any type of medical advice- even if asked, without a provider (physician, NP) physically present in the clinic.

 

Referral Coordination. 15%

    1. Monitor Jelly Bean notifications in eCW to capture referral requests in real time.
    1. Assemble information concerning patient's clinical background and referral needs. Per referral guidelines, provide appropriate clinical information to specialist office that that may include sending/receiving patient medical records; obtaining lab/X-ray reports, hospital notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics; managing and updating charts to ensure that information is complete and filed appropriately.
    2. Review details and expectations about the referral with patients. Consistently keeps patients abreast of any additional information needed by the Physician’s Office insurance company, or other healthcare provider involved in the referral process. Establishes rapport with patients and family by facilitating open conversation during the referral process.
    3. Resolves pre-certification, registration and case-related concerns prior to a patient's appointment.
    4. Verify the referring specialist or facility is in network with the Health Plan. Work collaboratively with QT Benefits Department. Escalate any network issues to the Network and Contract Specialist.
    5. Prepare and process all referral requests including assigning the authorization number in eCW in a timely manner.
    6. Prepare and generate referral reports to the Referral Specialist.
    7. Utilize third party portals to schedule specific procedures and services with ACO partners.
    8. Schedule appointments directly on behalf of patients.
    9. Utilize eCW functions to document all pertinent information.
    1. Coordinate with multiple doctors’ offices and facilities to ensure patient satisfaction.
    1. Coordinate DME with contracted QT HMO vendor as needed.

 

Other Responsibilities and duties as assigned. 15%

    1. Pursue self-improvement through becoming familiar with new policies and procedures, participating in training, orientation, staff development programs, and compliance /certification maintenance.
    1. Assist clinic staff to perform receptionist and clerical duties to ensure efficient and effective patient flow; should have complete knowledge of patient check-in and check-out procedures.
    2. Actively answer and/or directs patient phone calls received in the clinic.
    3. Facilitate scheduling in the clinic when patients call the clinic to schedule an appointment.
    4. Maintain stock of supplies in patient rooms including but not limited to may include setting up instruments and equipment according to department protocols; cleaning exam/procedure rooms, instruments, and equipment between patient visits to maintain infection control; cleaning sterilizer according to scheduled maintenance program and keeping appropriate records; ordering, sorting, storing supplies; and restocking exam/procedure rooms. Report/track low supply inventory to the Clinic Supervisor.
    5. Understand, promote and operate by overall company vision and values, goals, objectives and strategies.
    6. Participate in the Disaster Recovery plan as required.
    7. Promote harmony, teamwork, leadership and good supervisory and employee relations through example.
    8. Works amicably with leadership team in providing appropriate feedback regarding all issues including patient care, clinical issues, facility issues, operational issues and staff issues.
    9. Willing to travel between QuikMed clinics and facilities.
    10. Must be willing to work evening hours and weekends if necessary.
    11. Ensure equipment maintenance. Notify Clinical Supervisor of supply and equipment breakdown or needs.
    12. Other duties as assigned.

Position Specifications

Required education:  High school graduate/GED/vocational training equivalency.

 

Required license/certification: 

  1. Current American Heart Association BLS certification.
  2. Valid state/government issued identification.
  3. Medical Assistant education in progress or certification OR
    • May be substituted for 6 months with direct patient care in a clinical setting in emergency medicine, urgent care, primary care, or an ambulatory care setting as a Medical Assistant, certified Emergency Medical Technician, or Paramedic.

 

Desired education:        

    1. Current/Active and Unencumbered license/certification as a Certified Medical Assistant, Registered Medical Assistant, American Board of Radiology, or Paramedic.
    2. Licensed Practical Nurse.
    3. Nurse education in progress with completion of the first year/fundamentals of nursing, or equivalent, of an accredited nursing school.

 

Required experience: 5+ years direct patient care in a clinical setting in emergency medicine, urgent care, primary care, or an ambulatory care setting as a Medical Assistant, certified Emergency Medical Technician, or Paramedic. With current experience required in Electrocardiogram (EKG), vital signs, venipuncture, capillary, and injections.

 

Desired experience: 5+ years with direct patient care in a clinical setting in emergency medicine, urgent care, primary care, or an ambulatory care setting that includes performing x-ray and radiology testing as a Medical Assistant, EMT, or Paramedic.          

 

Required skills: People-oriented, attention to detail, and the ability to work independently. Proficient verbal and written communication skills and a professional demeanor. Ability to work as a member of a multidisciplinary team, prioritize tasks, triage patients, and take vital signs. Understanding of HIPAA and patient privacy. Knowledge of and ability to demonstrate administering medication(s) ordered by providers. Ability to work with mathematical concepts and apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

 

Desired skills: Microsoft Outlook and Excel skills, Medical Terminology, Insurance administration and Insurance Customer Service skills.

 

Confidential Information 

 

Knowledge of government/legal regulations and requirements related to health care and Medical Assistant’s scope of practice based on certification or license.  Knowledge of health care delivery trends and implications for clinical specialty and for the medical practice.  Follows ethical principles regarding patient confidentiality, HIPAA, informed consent, and unanticipated adverse outcomes. Additional Criteria

Must be able to handle confidential information. Must be organized and very accurate.  Errors are very serious and can lead to lawsuits. 

 

The hours for this position are Monday – Friday, 20-30 hours per week and may vary according to business needs, projects, and deadlines. This position will float between our clinics in the market.  The minimum starting salary for this position can be up to $22.13-$24.09 depending on related experience and qualifications.
